Detailed Job Description This position reports directly to the Head of the School of Mathematical Sciences (SMS). The Sr. Staff Assistant works closely with the other support staff of the school to ensure excellent customer service delivery to approximately 79 faculty, 15 adjunct faculty, programs within the School of Mathematical Sciences, RIT community members, external constituents, while executing established institute policies and procedures. The primary responsibilities of this position are to manage the Head's calendar activities, support the Head with reoccurring processes such as school meeting scheduling, faculty annual evaluations, annual reports and tenure/mid-tenure/promotion review portfolio preparation, provide administrative support to the Mathematical Modeling PhD program, organize school-wide events and coordinate marketing activities for the school.
The Sr. Staff Assistant in the School of Mathematical Sciences is a full-time position working 40 hours per week for 12 months per year. The position plays a key role in the School in providing administrative support for the Head.
Responsibilities include:
SMS School Head support Manage calendar activities for the School Head utilizing Microsoft Outlook; assist the School Head in scheduling and preparing for school meetings with faculty and staff; maintain school faculty and staff roster and email distribution lists; assist School Head with faculty annual evaluation and plan of work process; coordinate travel arrangements for the School Head; assist the School Head in coordination and support of school councils and committees including SMS Advisory Board; manage pending projects and ensure that goals and deadlines are met; prepare communication for alumni and donors as directed by School Head; perform special assignments as assigned by the School Head
SMS School Support Coordinate and maintain inventory of textbook desk copies for math courses; submit MATH/STAT textbook adoptions to campus bookstore each term; coordinate with the College of Science Marketing team to create media for marketing SMS seminars, colloquia and special events via email, electronic displays, COS and RIT online calendars and SMS social media; prepare SMS Annual Report; coordinate and support internal, external, and outreach events for the school for events such as guest speakers, Commencement activities, SMS Honors and Awards Ceremony and Open Houses; manage functions of the school office and supply inventory; direct student workers in the processing of incoming and outgoing mail; oversee transition of office space and key access to SMS controlled offices and classrooms; serve as backup for Student Support Services staff; provide administrative support to SMS faculty as needed; oversee orientation of new faculty/staff; provide support for faculty and staff search processes; provide support for faculty tenure, mid-tenure and promotion review processes
Math Modeling PhD Program Support Provide administrative support to the Math Modeling PhD Program Director and PhD students; complete and process all student paperwork including enrollment, scholarship, grant-related stipends and verification of degree completion requirements; assist PhD students in preparing for dissertation defense and publishing of thesis; coordinate special events as requested by Director; attend RIT monthly PhD Program Assistants meetings; oversee student hiring process for PhD graduate teaching assistants (GTAs)
Department/College Description The School of Mathematical Sciences (SMS) is one of six academic units in RIT's College of Science, which also houses the Chester F. Carlson Center for Imaging Science, the Integrated Sciences Academy, the School of Chemistry and Materials Science, the School of Physics and Astronomy, and the Thomas H. Gosnell School of Life Sciences. The SMS promotes research in mathematical and statistical sciences and is the home of 79 faculty members, four administrative staff members, three undergraduate programs (Applied Mathematics, Computational Mathematics, and Applied Statistics and Data Analytics), two MS programs (Applied and Computational Mathematics, and Applied Statistics) and a Ph.D. program in Mathematical Modeling. The SMS offers the required mathematics and statistics courses for students from all RIT programs.
Minimum Qualifications Education/Experience:
Associate's degree or equivalent experience
Five years of related administrative, program or office experience, preferably in higher education.
An equivalent combination of education and experience may be considered
Skills:
Excellent written and verbal communication skills
Ability to maintain the highest levels of confidentiality
High-level of proficiency in Microsoft Office Suite
Ability to quickly learn and utilize a variety of technical software applications with accuracy
