The Institute for Computational and Mathematical Engineering (ICME) is an interdisciplinary research and teaching institute and is part of the School of Engineering. Computational mathematics is at the heart of many engineering and science disciplines and has grown into a strong and exciting interdisciplinary field. In ICME, students and affiliated faculty conduct groundbreaking research, provide consulting, and teach over 60 courses in computational mathematics and scientific computing at both the undergraduate and graduate level.
ICME seeks an Outreach Coordinator to provide administrative and operational support for the institute's Affiliate Education Program & Research Engagement Initiatives. The Outreach Coordinator is responsible for the development and execution of outreach activities to increase visibility and awareness of ICME to prospective students, external corporations, government institutions, not-for-profit organizations, and professional groups. The Coordinator performs a variety of duties including creating and editing communications, reports and spreadsheets; scheduling and managing events and meetings; and responding to external partner inquiries.
Your responsibilities include:
Events - Collaborate with the Affiliate Program's Executive Director and Program Manager to oversee, plan, manage, and lead complex annual and one-time events, including tasks related to logistics, organization, procurement of supplies and vendors, communications and post-event surveys and reports. Track and ensure events/activities are within budget.
Administration - Act on behalf of the supervisor in regards to establishing priorities and identifying and resolving problems that are administrative in nature. Provide general support to program activities, including but not limited to: scheduling meetings, maintaining databases, arranging business travel, processing and reconciling travel and expense reimbursements, managing purchase orders, office supplies and materials.
Communications - Own the timely creation and dissemination of ICME marketing materials including but not limited to the quarterly newsletter, event promotion, in-scope website and social media posts and updates; this task includes coordinating with SoE and University communication offices to publicize ICME attainments.
Visitor Appointments - Serve as the primary contact and liaison for Visiting Scholars (VS) in ICME. Complete all necessary paperwork and procedures for VS appointments, including visas when applicable. Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Miscellaneous - Complete other administrative duties as assigned, such as guiding and training student and/or contingent colleagues, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness. Oversee and/or process a variety of complex financial transactions and/or reports/spreadsheets; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies.

Education & Experience (Required):
High school diploma and four years of administrative experience, or combination of education and relevant experience.

Education & Experience (Desired):
A Bachelor's Degree.
Experience with Google Workspace productivity tools.
Proficiency with Microsoft Office productivity tools.

Demonstrable competence in using business software and productivity applications.
Physical Requirements*:
Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

Position Pay Range:
The expected pay range for this position is minimum $60,000 - maximum $81,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
