Description This role reports to the Senior Director, Corporate Governance, and is responsible for ensuring each member of the IEEE Board of Directors and the IEEE Assembly has the information needed to be a knowledgeable and fully participating volunteer. The IEEE Board of Directors is the highest body within IEEE and is charged with governing IEEE. The Board is comprised of the three IEEE Presidents, the Vice Presidents and Presidents of the six Major Boards, the ten Region Directors, the ten Division Director, the Secretary, the Treasurer, and the Director Emeritus. The IEEE Assembly is a representative body of IEEE members. He/she works in accordance with the IEEE Constitution, IEEE Bylaws and IEEE Policies, procedures and precedents, and helps advance the mission and objectives of IEEE.
This position provides administrative support and requires constant interaction with IEEE Volunteers and senior IEEE staff members by working collaboratively, cooperatively, and comfortably with the highest management levels, both within and outside of IEEE. The position is virtual during the pandemic, but at some point it will revert to office-based in IEEE’s Piscataway, NJ headquarters.
Key Responsibilities - Supports the administrative responsibilities of the Recording Secretary for the IEEE Board of Directors and Assembly, in conjunction with the Senior Director, including:
- Primary point of contact for all inquiries to the corporate agenda mailbox
- Review of all agenda items submitted to the Board for clarity, consistency, required documentation, proper formatting, and actively engaging the submitters of these items, as required, to assist in this effort
- Producing the draft and final agendas, including distribution via portal
- Providing support for all meetings, both on-site and virtual,
- Providing drafts of the meeting minutes, actions, and summaries of the IEEE Board of Directors and IEEE Assembly meetings
- Development of the detailed meeting project plan and schedule for the current year’s IEEE Board of Directors meetings
- Coordinates communications with the IEEE Board of Directors, including general communications, sending and collecting required documents, access to Board materials, conference calls, and agenda reviews.
- Ensures all governance records and documents associated with the IEEE Board and IEEE Assembly are maintained and accessible to IEEE Volunteers and staff in audit-ready condition and, as such, manages and provides historical data and research, as requested.
- Creates and maintains content for resources related to participating and attending in Board meetings in applicable areas (webpages, board portal, etc.)
- Responsible for the collection and shipment of work materials needed for the face-to-face Board and Assembly meetings.
- All other duties and special projects, as assigned.
Qualifications Education - Bachelor's degree or equivalent experience in relevant business discipline such as business administration, communications, or other related fields Req
Work Experience - 2-4 years working in either an association governance environment or in the corporate/board affairs environment of a corporation Req
- Similar background in industry supporting large business unit/corporate governance meetings would be considered
Skills and Requirements - Must have excellent attention to detail, be able to balance multiple tasks and priorities, have good administrative skills, and have the ability to work both independently and in a team setting with minimal or no supervision.
- Ability to function under pressure with tight deadlines
- Ability to consistently, and in a timely manner. process substantial documentation received from multiple parties across IEEE
- Maintain confidentiality and have highest standards of integrity
- Excellent written and oral communication skills
- Demonstrated ability in establishing project timelines and reviewing work for completeness, accuracy and timeliness.
- This individual must be a technologically savvy knowledge worker who applies the benefits of technology to his or her work environment. He or she is a regular user of web content management systems/technology and a daily user of off-the-shelf word processing, presentation and spreadsheet software, a regular user of email and the Internet for research and communication,
- Experience with Board and/or meeting management software a plus
- Must possess a valid and unexpired passport. When pandemic guidelines are adjusted, travel will be necessary as required (approximately 3-4 trips a year, some international).
- Some nights and weekends, in conjunction with meeting preparation and attendance for the Board and Assembly meetings, will be required.
