Supporting the firm’s SVP Corporate Secretary and Deputy General Counsel, the Senior Executive Assistant provides extensive, targeted management of the day-to-day administrative needs for this individual, as well as coordinating broader administrative activities within office such as helping organize staff meetings, off-sites and distributing department communications.
The role requires professional demeanor, impeccable judgement and interpersonal skills, a notably high level of discretion, and flexibility.
Be a trusted and highly reliable support to the SVP on the full spectrum of administrative responsibilities.
Triage and prioritize incoming emails that relate directly to the success and reputation of the function.
Draft and produce grammatically accurate documents and correspondence including contracts, presentations, emails, letters, memos, and spreadsheets, for internal and external use.
Partner with administrative peers and other colleagues around the firm to provide a team work approach for executive coverage and follow-through; act as back-up to the Senior Executive Assistant to the EVP General Counsel
Extensive calendar management and meeting coordination using Microsoft Outlook.
Handle all meeting logistics and preparation of meeting and conference materials.
Coordinate travel arrangements, both domestic and international, and prepare and submit accurate and timely expense reports in Concur.
Manage phones, transferring, conferencing and routing all business related calls in a discreet and professional manner.
Handle certain legal related tasks such as maintaining the AIG officers list in Blueprint, maintaining the company minute books, processing legal invoices and assisting with board related tasks.
Interact in a professional manner with directors, shareholders, and senior executives
7-10+ years direct experience supporting senior executives, preferably in a large, multi-national environment.
Bachelor’s Degree preferred, or equivalent work experience.
Experience in discerning and handling highly confidential information related to the legal department of a publicly traded firm.
Proven strong communication skills, and the capability to multi-task in an environment of shifting priorities.
Proven discretion, and demonstrated ability to assume autonomy and use independent judgement
Detailed knowledge of MS Office software including Word, Excel, and PowerPoint, as well as knowledgeable of Concur, Ariba, Sharepoint, Fieldglass and SAP.
Advanced ability to prioritize tasks and work with minimal supervision in a fast-paced environment.
Dependable, proficient in multitasking and extremely detailed oriented.
