The Office of General Counsel (OGC) is seeking an executive assistant. This is a full-time (1.0 FTE), 12-month, fixed term professional faculty position. Reappointment is at the discretion of the general counsel.
This position reports directly to the general counsel, who reports directly to the president. The Office of General Counsel (OGC) manages the legal affairs of the university, including provision of legal advice and assistance to the president, provost, central administration, deans, directors and faculty, as well as the Oregon State University (OSU) Board of Trustees. The office is responsible for the entire range of legal matters for the university including review of the legal impact of changes in university policy, procedures; contract disputes, claims, and interpretation; advice on university intellectual property; drafting and reviewing documents for all types of real and personal property transactions, including university intellectual property; providing legal advice on all aspects of the employment relationship; providing advice on student activities and student conduct matters; and management of outside counsel. The general counsel works closely with members of the University Cabinet, others in the central administration, deans and faculty, as well as the Office of Equal Opportunity and Access, Human Resources, the Director of Commercialization and Corporate Development, the Procurement and Contracting Services Office, and others.
The executive assistant's diverse activities are performed independently in a fast-paced, dynamic office environment that is highly sensitive and confidential, and critical to successful delivery of the university's mission. This position has access to highly sensitive, confidential information involving the entire spectrum of the university's legal affairs, and must maintain absolute discretion at all times.
Special working conditions of this position include working with agitated and/or upset students and/or parents and members of the public. The executive assistant must actively listen and intake these concerns while maintaining a calm, professional manner. The executive assistant works under frequent short deadlines and multiple time demands.
Typically requires Bachelor’s Degree in related field. Substantial executive administrative support experience, with progressively increasing responsibility, at an institution of higher learning or other similarly complex institution.
-5 years experience in a position with similar duties supporting a high-level executive. -Strong oral, written, and interpersonal communications skills with both internal and external constituencies in a professional setting. -Professional experience managing complex scheduling needs with high level of attention to detail and accuracy. -Professional experience planning, prioritizing, and managing simultaneous projects, often with strict deadlines, and managing multiple tasks and shifting priorities while coordinating a high volume of work. -Professional experience in a setting requiring strict adherence to confidentiality and maintenance of confidential records. -Professional experience with Microsoft Office and Adobe Professional software as well as electronic document management and processing systems. -Professional experience requiring high level of accuracy and attention to detail at strategic and tactical levels. -Professional experience requiring the exercise of independent judgment. -Demonstrated commitment to equity, inclusion and diversity.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
High intensity, high volume legal office with six attorneys. The executive assistant is co-located with the general counsel. All other OGC personnel, including the five attorneys who are also supported by this position, are located on a different floor. Expected schedule is Monday through Friday from 8am to 5pm, with the ability to work flexible hours and accommodate situations that may arise some evenings and/or weekends.
Additional Salary Information: Salary is commensurate with education and experience.
